Who we are
Birch Bespoke Interiors (Buckinghamshire, United Kingdom) is the data controller for the personal information collected through this website. If you have any question about this policy, or you would like to exercise any of your rights, contact us at matt@birchbespoke.com or 07830 338807.
Information we collect
- Enquiry and contact forms - your name, email address, phone number, the type of project you are enquiring about, any message you write and any photographs you choose to upload.
- Wardrobe estimator - the measurements, finishes, internal layouts and options you select, the guide price generated, plus your contact details when you ask us to follow up.
- Live chat - if you start a chat, the messages you send and any contact details you provide within it.
- Technical data - basic information your browser sends, such as IP address, device type and the pages you visit, used to keep the site secure and working correctly.
Why we use it, and our lawful basis
- To respond to your enquiry, prepare a quotation and carry out any work you instruct - necessary to take steps at your request before entering into a contract, and to perform that contract.
- To keep records of quotes, projects and correspondence, and to meet our legal and accounting obligations - legal obligation and legitimate interests.
- To keep the website secure and functioning - legitimate interests.
- To measure how our advertising performs using marketing cookies - your consent, which you can withdraw at any time.
We do not sell your data, and we do not share it with third parties for their own marketing purposes.
Who we share it with
We only share your information with the service providers that help us run our business, and only so far as they need it:
- Our website hosting and database provider, which stores enquiry submissions and any photographs you upload.
- Our email delivery provider, which sends your confirmation email and our internal notification.
- Our customer relationship management (CRM) system, where enquiries are recorded and followed up.
- Our live chat provider, if you choose to start a chat.
- Meta (Facebook/Instagram) advertising measurement, only where you have accepted marketing cookies.
How long we keep it
Enquiries that do not lead to a project are kept for up to 24 months so we can pick up the conversation if you come back to us. Records relating to completed work, including quotations and invoices, are kept for 6 years to meet our legal and accounting obligations. Photographs you upload are deleted once they are no longer needed for your quotation, unless you have given us permission to use them.
Cookies
A cookie is a small file stored by your browser. We keep our use of them to a minimum and group them into two categories:
- Essential - needed for the website, enquiry forms and live chat to work, and to remember your cookie choice. These are always on and do not require your consent.
- Marketing - the Meta Pixel, which measures how many people enquire after seeing one of our adverts. This only loads if you accept marketing cookies, and nothing is loaded if you decline.
Your choice is stored in your browser for 12 months. You can change it at any time:
You can also block or delete cookies in your browser settings, though some parts of the site may not work as intended if you do.
Your rights
Under UK data protection law you have the right to:
- Ask for a copy of the personal information we hold about you.
- Ask us to correct anything that is inaccurate or incomplete.
- Ask us to delete your information where we no longer need it.
- Object to, or ask us to restrict, how we use your information.
- Withdraw your consent to marketing cookies at any time.
To exercise any of these, email matt@birchbespoke.com. We will respond within one month. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
Changes to this policy
We may update this policy from time to time. Any changes will appear on this page with a revised "last updated" date.
